Get here the 10 tips for organising a successful event!
Dive in 1
Let’s try it out!
Begin with a brainstorming with your buddy: what could you organise?
Take notes of your ideas.
Done?
1. Now choose the idea you both like.
2. Open a digital sheet.
You can use this minimalist, non-commercial system where you can use programs like word, excel and kanban.
Tip: On the bottom right you can choose your language. Then click on: “Rich text”
Let's try!
3. Write down the title of your event
- e.g. “Surprise birthday- party for Takuya”
- describe below the goal, e.g. “cheer up Takuya and make all guests have a fun afternoon”
4. Insert a table with 2 rows and 3 columns (title/caption: Brainstorming)
- write in the first row: (column 1) Location;
- (c. 2) special moments;
- (c. 3) guest list (names of people and/or categories, e.g. neighbours)
Insert in the second row all your ideas!

And now come down to earth and be realistic: what are your resources*?
*in terms of time, energy, money, network of supporters, skills, materials…
Share your considerations with your buddy.
Done?
With your considerations in mind and check...
- the guest list
- the location
- the special moments
Define what your event will finally be!
At the end insert below the table following informations:
- Date / time / duration:
- Location:
- Number of guests:
- Special moments:
Create 1
Write down in a Kanban management tool all main to DOes, then break them down into smaller tasks and categorise them using tags.
Every task must have a deadline and a responsible person*.
*Involve other buddy-teams in your project, at least to take over some tasks (e.g. decoration, cleaning at the end, awareness, DJing)!
If you plan shifts (e.g. for the awareness team that takes care that everyone feels comfortable)
- open a spreadsheet and share it with the others so that they can insert their name in the shift they want to do.
Create 2
It’s time to promote your event!

You can use for example an open source presentation programme such as libreoffice impress or a graphic programme such as Krita.
Have a great creative time together… and when you are done, have your flyer uploaded in the work.it area!
Reflect
It is now time to sum up!
Share your answers to the following four questions:
1. How did you like to organise an event from 1(min.) to 10 (max)?
2. What did you like the most?
3. What was challenging in relation to
- the organisation of the event
- the creation of the flyer
- the collaboration between you and with others?
4. What did you learn overall?
At the end think of one suggestion you would give other buddy-teams and create together your postcard!
Ask your educator to login and share your postcard with the KIDS4ALLL community.
